Project Quote, Hourly Rate, or Monthly Retainer: How Web Agencies Bill (and What It Means for You)

Most web agencies bill by project quote, hourly rate, or monthly retainer. Here's what each model actually means for your budget and your control over the project.

01

The three ways a web agency can bill you

Before even talking about price, there's the question of how that price gets calculated. Most web agencies work under one of three models: project quotes, hourly rates, or monthly retainers. Each has its own logic, and each shifts the financial risk differently between you and the agency.

02

Project quotes: the most common model, and the vaguest

This is the industry's default model. You describe your need, the agency estimates the hours, and gives you a number. The problem is that this estimate comes from a conversation, not a fixed catalog, so two agencies can give you two very different numbers for the same project. And if your needs change along the way, which happens almost every time, the starting number changes too, usually upward.

03

Hourly rates: transparent on paper, unpredictable in practice

Billing by the hour sounds honest: you pay exactly for the time worked. Except you never know in advance how many hours a project will actually take, and you have no real way to verify whether the billed hours reflect the actual work done. It's a model that requires full trust in the agency, which is sometimes warranted, but it remains a bet.

04

Monthly retainers: good for ongoing work, not for a launch

A monthly retainer works well for maintenance or regular updates, because there's a predictable volume of work from one month to the next. It's less suited to a first website launch, where the work is concentrated in a short period rather than spread out, which makes the retainer either too expensive at first or not enough.

05

Fixed price by project type: our choice, and why

At Cocktail Média, we chose a fourth model: a fixed price based on the type of site, not on hours or a custom estimate. A simple site costs $500, an online store $1,000, a redesign $150, period. It removes the vagueness of quotes and the unpredictability of hourly billing, because we've standardized how these three types of projects get built instead of starting from scratch every time.
